Retreat Terms and Conditions
1. Retreat Overview
This agreement outlines the terms for the Retreat booked via the Island Labyrinth Creations website. By submitting your deposit and checking the agreement box during booking, you officially accept and are bound by these terms.
This agreement is governed by the laws of the State of Washington. Any disputes arising from this agreement shall be resolved through binding arbitration or small claims court in Island County, Washington, rather than through litigation.
The organizer reserves the right to make reasonable modifications to the schedule, activities, or vendors without notice, provided the core retreat experience is not materially altered.
This is a 21+ event. All attendees must be 21 years of age or older as of the day prior to the event. Alcohol will be present at this retreat. Proof of age may be requested.
2. Payment Schedule and “No Exception” Policy
All retreat pricing is confirmed at the time of booking, as described in the booking item.
Automatic Forfeiture: Failure to pay the final balance by the August 1st deadline will result in automatic forfeiture of your reservation and loss of all previous payments made.
3. Minimum Attendance and Organizer-Initiated Cancellation
This retreat requires a minimum of 7 confirmed, paid attendees to proceed as planned. If minimum attendance is not reached by June 1, 2026, the organizer reserves the right to cancel the retreat. In that event, all participants will receive a 100% refund of all payments made to the organizer within 14 days of the cancellation notice.
Note: The organizer is not responsible for any outside travel costs, accommodations, or expenses incurred by attendees in connection with an organizer-initiated cancellation.
4. Cancellation, Refunds, and Chargebacks
Because we must prepay for venue accommodations, catering, and event logistics, all deposits and subsequent payments become strictly non-refundable once their specific payment deadlines pass. We maintain a strict no-exception refund policy for cancellations due to medical emergencies, family tragedies, changes in employment, travel delays, or any other personal circumstances.
By booking this retreat, you acknowledge that all payments are non-refundable per the terms above. You agree that initiating a credit card chargeback for non-refundable amounts constitutes a breach of this agreement and may result in legal action to recover the disputed funds plus associated costs.
5. Transfer of Reservation
If you are unable to attend, you may transfer your reservation and accommodations to another individual under the following conditions:
You must notify the host in writing at least 14 days prior to the retreat start date.
The replacement attendee must be approved by the host and must sign all required liability waivers and agreements prior to attendance.
All financial arrangements regarding previously paid funds are the sole responsibility of the original and replacement attendees. The organizer will not mediate or facilitate any financial exchange between parties.
6. Travel and Insurance
Guests are solely responsible for arranging and covering all costs of their own travel to and from event location, lodging outside the retreat dates, and any personal expenses.
Attendees are strongly encouraged to obtain travel insurance that includes “cancellation for any reason” (CFAR) coverage prior to the retreat. The organizer is not responsible for any personal travel losses, non-refundable transportation costs, or expenses arising from the attendee’s inability to attend.
7. Force Majeure
In the event of a Force Majeure—including but not limited to natural disasters, pandemics, government-issued travel bans, or severe weather that halts ferry or shuttle service—the organizer’s performance under this agreement is excused.
In such circumstances, the organizer will issue a partial refund equal to each attendee’s pro-rata share of funds not yet committed to non-recoverable vendor payments (including but not limited to venue deposits, catering prepayments, and activity provider fees). The organizer will provide a written accounting of non-recoverable expenditures within 30 days of the cancellation notice. Attendees will receive their refund within 60 days of that accounting.
The organizer is not liable for outside travel expenses, including non-refundable flights, ferry bookings, or hotel accommodations, incurred in connection with a Force Majeure cancellation.
8. Health Disclosure and Medical Information
Attendees are responsible for disclosing any relevant health conditions, mobility limitations, dietary restrictions, allergies, or medical equipment needs during the intake process. This information is used to ensure your safety and the safety of the group, and to allow the organizer to make reasonable accommodations where possible.
A separate, standalone Liability Release and Medical Consent form must be signed prior to attendance. See Section 11 for details.
9. Alcohol and Substance Policy
Alcohol Permitted: Responsible alcohol consumption is permitted during designated social hours. Attendees are expected to drink responsibly and in a manner consistent with the retreat’s community agreements. The organizer reserves the right to restrict an attendee’s access to alcohol if behavior becomes disruptive or unsafe.
No Smoking: The lodging, transportation and most event locations have a No Smoking policy which includes vaping. Smoking, vaping of any substance to include tobacco and cannabis are not permitted. Violations of this policy are grounds for immediate removal per Section 10.
Regardless of policy, attendees who appear impaired in a manner that poses a safety risk to themselves or others may be removed at the organizer’s discretion without refund.
10. Behavioral Governance and Right to Terminate
This retreat is designed as a safe, supportive space for connection and healing. We enforce a zero-tolerance policy for discriminatory, racist, sexist, or highly disruptive behavior. All attendees are expected to adhere to the Behavior and Social Contract, which will be emailed following initial booking.
The organizer holds the sole and final right to determine whether a violation has occurred. If you violate community agreements or display behavior that is harmful to the group dynamic, you will be expelled immediately. Expelled attendees are responsible for arranging and covering their own transportation from the property, including any ferry or travel costs required to depart the event location. No refund of retreat fees will be issued.
11. Media, Photography, and Privacy
The organizer may take photographs or videos during the retreat for promotional use. During the intake process, attendees will be asked whether they consent to being photographed or recorded. The organizer will make reasonable efforts to honor stated preferences.
Attendees agree not to post photographs, videos, or recordings of other guests on social media or any public platform without the explicit consent of those depicted. Out of respect for the intimate nature of this retreat, attendees are encouraged to ask before photographing others in personal or vulnerable moments.
12. Property Damage and Facility Rules
Attendees agree to be financially responsible for any damages they cause to the event property during their stay.
Septic System: Many locations operate on a septic system. Guests must not flush anything other than human waste and toilet paper, nor dispose of fats, oils, or non-biodegradable items down sinks or drains. Any emergency plumbing or repair costs resulting from guest misuse will be billed directly to the responsible attendee.
13. Workshop Intellectual Property
Any creative works produced by attendees during retreat workshops—including but not limited to art, writing, craft projects, and designs—remain the sole intellectual property of the attendee who created them. The organizer makes no claim to ownership of attendee-created works.
14. Standalone Liability and Medical Waiver
In addition to this master participation agreement, a separate, standalone Liability Release and Medical Consent form must be signed prior to attendance, which will be emailed out after booking. This document clearly outlines the inherent physical and emotional risks of our specific activities (including but not limited to hiking, crafting, sauna use, and open flame activities) and grants temporary medical authorization to the host to seek emergency care on your behalf if you become incapacitated.
Failure to sign the Liability Release and Medical Consent form prior to the retreat start date constitutes grounds for denial of entry without refund.
15. Agreement and Acknowledgment
By submitting your deposit and checking the agreement box during the booking process, you confirm that:
You have read and understood all terms and conditions in this agreement.
You agree to be bound by all terms, including the payment, cancellation, and behavioral policies.
You acknowledge that all deposits and subsequent payments are non-refundable per the terms above.
You are 21 years of age or older as of the day prior to the event start date.
